Why exhibit with Gem Faire?

Gem Faire is one of the most established gem, jewelry, bead, mineral, and fossil show producers in the United States, with events focused on serious buyers and collectors.
Our shows attract wholesalers, retailers, manufacturers, distributors, and end consumers actively sourcing products—creating a strong, targeted marketplace for exhibitors.

What is included in a standard booth?

Each standard booth includes:

◦ Tables (quantity based on booth size)
◦ Two chairs
◦ Electrical service
◦ City and/or government fees
◦ Company identification sign

Can I request additional tables or booth upgrades?

Yes. Additional tables and optional decorating services are available in multiple sizes and configurations.
Advance requests are recommended, as availability is limited. Our team can assist with booth design and setup to create a more customized presentation.

Can I bring my own tables, chairs, or display furniture?

Yes. Exhibitors may bring their own tables, chairs, or display fixtures.
Please note that exhibitors using their own furniture must carry a valid liability insurance policy naming Gem Faire as an Additional Insured. Insurance documentation must be submitted at least 30 days prior to the show.

Can I customize or expand my booth layout?

Custom booth designs are encouraged, provided they remain within the contracted booth footprint.
Rearranging tables is allowed as long as fire regulations, aisle widths, and safety requirements are met. If you need additional space, please contact Gem Faire management to discuss booth size upgrades and associated fees.

Is there a charge for using cheater boards or table extensions?

No, as long as they do not extend beyond your contracted booth area or into aisles.
All booth setups must comply with local fire and safety regulations.

Why is there a charge for additional electrical service?

Electrical service is provided based on contracted usage.
If additional wattage is required, fees reflect the direct costs charged by local electrical contractors for extra power and wiring.

Why can’t I keep my company sign after the show?

Company signs are the property of Gem Faire and are maintained for reuse at future events.Signs are installed prior to exhibitor arrival and must not be altered, written on, or modified.

How does Gem Faire promote the shows?

Gem Faire supports exhibitors through extensive local, regional, and national promotion, including:

◦ Direct mail invitations
◦ Trade and local publications
◦ Radio and television advertising
◦ Digital marketing, email campaigns, and social media
◦ Posters, transit ads, billboards, and community outreach

These efforts are designed to drive qualified buyers directly to your booth.

May I promote my participation independently?

Yes. Exhibitors are encouraged to promote their presence at Gem Faire.
You may distribute your own invitations and include free passes for your customers. If needed, Gem Faire can also assist with invitation design and printing.

Is overnight security provided?

Yes. Secure lock-up areas or heavy-duty security cages are available when the show is closed.
Once the hall is secured, no re-entry is permitted until the next scheduled exhibitor access time.

When can exhibitors access the exhibit hall?

Exhibitor access typically begins:

◦ Friday: after 8:00 AM
◦ Saturday & Sunday: after 9:00 AM

Early access is restricted to authorized exhibitors only.

Do I need to wear my exhibitor badge at all times?

Yes. Exhibitor badges are required at all times to ensure security and proper access control.

Does Gem Faire provide cartage or shipping services?

No. Exhibitors are responsible for transporting their own materials.
Insurance for transported goods must be arranged independently through your insurance provider.

What insurance is required to exhibit?

Exhibitors are required to carry:

General Liability Insurance (mandatory)
Worker’s Compensation Insurance for all helpers or employees

These requirements are mandated by federal, state, and local regulations.

Why can’t exhibitors park near the exhibit hall?

Fire lanes must remain clear at all times for emergency access.
Parking is prioritized for attendees, and exhibitors are asked to use designated exhibitor parking areas.

Is RV parking available?

Availability varies by location and venue regulations.
Please contact the Gem Faire office or the event venue directly for current RV parking information.

Can I share or sublet my booth space?

No. Subletting or sharing booth space is not permitted.

Are discounts available on booth pricing?

Yes. Early payment discounts may be available for certain shows and payment methods.
Discount terms, eligibility, and restrictions are outlined in the applicable Exhibit Space Contract.

What is the cancellation policy?

Cancellation terms, fees, and deadlines are specified in your contract.
Please review your contract carefully before submitting payment.

Can I sell wholesale from a retail booth?

Yes. Wholesale transactions are permitted when proper resale documentation is provided by buyers.

Are clubs, schools, or educators eligible for special participation?

Yes.

◦ Gem & Mineral Clubs may request complimentary exhibit space
◦ Teachers and schools may arrange free group attendance
◦ Educational classes and demonstrations may be scheduled, subject to space availability
